Totally agree, to process invoices you need to go down the template free route. At TIS we have both technologies (Template & Template Free) inside the same platform. So for our mailroom solutions we can automatically classify the batch, remove recognised forms (applications, registrations etc) and then pass to intelligent classification based on key words. Here we would pick up on key invoice elements to route into that process. Validate the content against the client master data before export into the system of choice.

Good post. Anyone using Template driven OCR is in for a rude awakening. We've seen this be a hassle from an on-going system administration perspective. For example, whenever an AP organization handles a new vendor, a new vendor template has to be set up, taking up to a couple hours at a clip so that the OCR can perform optimally and not fail. When you have many vendors, this becomes more complex, as some may change formats. Free form OCR is definitely a highly advantageous tool in an overall AP automation initiative and something we advocate as a best practice for handling paper or paper formatted invoices.

Another key benefit of the OCR extraction is the ability to leverage the data conversion to drive processing categorically. In terms of categories, invoices breakdown to PO or Non-PO, which necessitate different approaches to process and approve. You can read more on that here http://insight.cloudxdpo.com/blog/bid/187839/7th-Day-of-Christmas-Improving-Invoice-Processing-Categorically .
